Documentation Policy
Last Updated: September 2026
At Sophix Natural, we understand that technical documentation is an important part of sourcing and using cosmetic raw materials, particularly for manufacturers, formulators, quality-control teams, regulatory submissions and businesses developing finished products.
We provide available technical documentation for applicable products and make these documents accessible through our website where available.
1. Available Product Documentation
Sophix Natural provides available technical documentation for applicable raw materials sourced from reputable manufacturers and suppliers, including:
Safety Data Sheets (SDS/MSDS)
Certificates of Analysis (CoA)
Technical Data Sheets (TDS), where available
CoA and SDS/MSDS are available for most applicable materials, particularly surfactants, preservatives, emulsifiers, actives and solvents. TDS and other specialised documents, including IFRA certificates, are provided only where available from the manufacturer or supplier.
Documentation availability varies by product and source. Certain fragrances, including many from Nature’s Garden, may not have these documents available.
Customers requiring specific documentation for regulatory registration, manufacturing or quality control are advised to confirm availability before placing an order.
2. Centralised Documentation
To provide customers with convenient and consistent access to product documentation, Sophix Natural maintains available SDS, CoA and other applicable technical documents on our website.
Where documentation is available, customers who have purchased the applicable product may access the relevant documents through the product page or their customer account, depending on the document and website access requirements.
3. Source of Documentation
Technical documentation provided by Sophix Natural is based on documentation supplied by the applicable manufacturer or supplier.
Sophix Natural does not independently manufacture, alter, certify or validate manufacturer-issued technical documents.
The documentation available for a product represents the specifications and technical information supplied to us by the relevant manufacturer or supplier.
4. Product Specifications and Subsequent Batches
Documentation may remain applicable to subsequent batches or restocks where the manufacturer or supplier maintains the same product specifications and technical characteristics.
However, the availability of an existing document does not automatically mean that every subsequent batch has the same batch-specific CoA or lot-specific test results.
Where a manufacturer or supplier provides updated specifications or documentation, Sophix Natural will make reasonable efforts to update the corresponding documentation on our website.
5. Updated Documentation
Manufacturers and suppliers may periodically issue:
- Updated specifications
- Revised technical information
- New product grades
- Updated SDS documents
- Updated CoA documentation
- Revised safety information
- Other technical or regulatory documentation
Where Sophix Natural receives updated documentation that applies to a product, we may replace or update the corresponding document available on our website.
Customers should therefore refer to the current documentation available on the relevant product page.
6. Batch-Specific Certificates of Analysis
Where a manufacturer or supplier provides a batch-specific CoA, the applicable batch or lot number will be stated on the document where available.
A batch-specific CoA may contain information relating specifically to the tested batch, such as:
- Batch or lot number
- Manufacturing or production date
- Test parameters
- Specification limits
- Test results
- Release information
Where a manufacturer or supplier does not provide a batch-specific CoA, Sophix Natural cannot independently issue, manufacture, reproduce or create a batch-specific CoA for the material.
We will only provide batch-specific documentation where such documentation has been supplied by the applicable manufacturer or supplier.
7. Documentation Is Not Dependent on Purchase Quantity
Documentation availability is determined by the documentation provided by the applicable manufacturer or supplier and is not dependent on the quantity purchased.
Purchasing a larger quantity of a product does not automatically entitle a customer to documentation that is not provided by the manufacturer or supplier.
8. Regulatory and Manufacturing Requirements
Customers who require documentation for:
- Regulatory registration
- Product registration
- Quality control
- Manufacturing
- Importation
- Auditing
- Internal compliance
- Customer or distributor requirements
should confirm the availability and suitability of the required documentation before placing an order.
Sophix Natural recommends that customers review available documentation and confirm that it meets their specific regulatory, manufacturing or quality-control requirements before purchasing.
9. Customer Responsibility
Customers are responsible for determining whether the documentation supplied for a product is sufficient for their intended use or regulatory requirements.
Sophix Natural does not guarantee that a particular SDS, CoA, TDS or other technical document will be accepted by a specific:
- Regulatory authority
- Government agency
- Certification body
- Manufacturer
- Distributor
- Import authority
- Third-party organisation
Acceptance requirements may vary by country, jurisdiction, industry and intended application.
10. Documentation Availability Before Purchase
If a specific document is essential to your decision to purchase a product, we strongly recommend confirming its availability with Sophix Natural before completing your order.
This is particularly important where documentation is required for regulatory registration, product approval, manufacturing or quality-control purposes.
Customers may contact Sophix Natural through the contact information provided on our website for documentation-related enquiries.
11. Document Accuracy and Integrity
Sophix Natural makes reasonable efforts to ensure that documents published on our website correspond to the applicable products and information supplied by our manufacturers and suppliers.
Customers should not modify, reproduce, alter or misrepresent any technical documentation supplied by Sophix Natural.
Where a document contains a manufacturer’s or supplier’s specifications, test results or certification, those statements remain attributable to the issuing manufacturer or supplier.
12. Changes to Documentation
Sophix Natural reserves the right to update, replace or remove product documentation where:
- A manufacturer or supplier provides an updated document.
- A product specification changes.
- A product grade changes.
- A document becomes obsolete.
- A supplier discontinues a particular specification.
- Additional or corrected technical information becomes available.
The most current document made available for a product should be considered the applicable version published by Sophix Natural at that time.
13. Important Notice
Available SDS and CoA documents are provided where applicable. Please check the available documentation before placing your order if these documents are required for regulatory registration, manufacturing or quality-control purposes.
Where a batch-specific CoA is not provided by the applicable manufacturer or supplier, Sophix Natural cannot independently issue or create a batch-specific CoA.
14. Contact
